What You’ll Do:
Connect with new clients and guide them through the onboarding process.

Verify, enter, and manage client information accurately.

Schedule consultations and follow-ups to ensure clients feel supported.

Communicate with clients via email and phone, providing a friendly and professional experience.

Handle administrative tasks like maintaining records, sending automated messages, and managing emails.

Requirements:

Professional Background: Experience in the medical or behavioral health field with a strong understanding of HIPAA compliance.

Customer Service Expertise: A warm, professional communicator who excels at building connections with clients.

Sales Skills: Ability to use conversational sales techniques to encourage leads to book consultations or appointments.

Tech Proficiency: Familiarity with EHR's, Google Sheets, Facebook, and HIPAA-compliant email platforms. Bonus points for experience with automation tools like Zapier.

Reliable Setup: A dependable computer, high-speed internet, and a quiet, professional workspace suitable for client calls.

Flexible Schedule: Availability to work Saturday mornings as part of your regular schedule.

Organizational Excellence: Strong ability to manage multiple clients across various stages while maintaining accurate records and meeting deadlines.

Time Management: Ability to work independently, stay on task, and efficiently prioritize responsibilities.

Work Setting:
This is a fully remote position, allowing you to work from home. You’ll manage tasks independently, following clear, detailed workflows to ensure efficiency and consistency. A reliable phone with a clear connection is essential for client interactions and team communication.

Daily Schedule and Check-Ins:
Your day will be structured with regular check-in times to ensure tasks are on track and clients are supported promptly. Check-ins are required at 9:30 AM, 12 PM, 3 PM, and 5:30 PM (Central Time) Monday-Friday, and 10am Saturday to monitor leads, provide updates, and ensure tasks are completed. -
Lead Management: All new client leads must be contacted within 2 hours of receipt during business hours.

Scheduling: 90% of qualified leads should have consultations or appointments scheduled within 24 hours of initial contact.

Follow-Ups: All follow-up calls, emails, and automated messages must be completed within designated timeframes.

Documentation: Client records must be updated accurately and immediately after each interaction.
Team Communication:

Provide daily updates summarizing lead statuses, progress, and any challenges.

Participate in weekly team meetings to review performance, discuss updates, and address workflow improvements.

Respond to team messages and client inquiries within 1 hour during business hours.
Tools and Processes:
We’ll provide detailed workflows, scripts, and guidelines for each stage of the client journey.
